Job sheet line items and invoicing

New features

Job sheet line items

  • Line items can now be added to job sheets, including standard invoicing information (description, quantity, unit price with and without tax, item tax rate).
  • Line item templates can be created to prefill commonly used job sheet entries.
    • These will appear via autocomplete when typing in a description on a job sheet line item.
    • Config → Job sheet line items.
  • Job sheet templates can be linked to line item templates for full auto-population.
    • Config → Job sheet templates → Manage templates → Location line items.
  • Line item templates are location-specific but can be copied between locations within the same group.
    • Config → Job sheet line items → List → Map between locations.
  • Calendar widget bookings will automatically generate relevant line items.

Invoicing

  • Invoices can now be generated for job sheets with at least one complete line item.
  • Once invoiced, job sheets become read-only.
  • Customers with outstanding balances are now highlighted in the navigation sidebar.
  • Partial/full payments can be recorded with automated updates to invoice and customer balance statuses.
  • Invoices can be sent to customers via email or SMS (based on contact info available).
  • Garage payment information (e.g. cheque/bank transfer details) can be added to invoices.
  • Multiple currency support is now available.
    • Currently supports GBP (£) and SEK (kr); additional currencies will be added as needed.
  • Location logos can be added to invoices.
    • Requires setup by the Simple GMS support team.

Calendar holiday management

  • New calendar holiday management tool added.
    • Config → Settings → Holidays.
  • Holidays prevent bookings via calendar widgets (manual admin bookings still possible).
  • Holidays can be cloned across locations in the same group at creation.

Credits

  • Credit history page now shows detailed audit information, including:
    • Type of SMS sent (e.g. "Re-schedule", "Order tracking notification").
    • Links to related job sheet or vehicle records.
  • Credit history CSV export includes full breakdown by location and spend.

Help & tips

  • In-system help prompts have been added across the UI.
    • Clicking the question icons opens a sidebar with help content relevant to the item.
  • Help & tips page now includes inline search with autocomplete.
  • A new help sub-menu has been added to the calendar page.

Miscellaneous

  • Rescheduled job sheets now support customer notifications by email (previously SMS only).
  • "View in calendar" link has been added to various job sheet displays for quick calendar access.
  • Home page panels have been introduced with quick-start guidance for users.
  • Additional filters/search options added to list pages:
    • Job sheets
    • Customers
    • Vehicles
  • Check-in app now displays a confirmation page upon successful check-in, with auto-redirect after 10 seconds.
  • Various UI refinements:
    • Improvements to job sheet creation and edit modals.
    • Enhanced mobile responsiveness.
